Managing Projects in Support Functions :

Introduction :

This is a customized project management orientation course specifically developed for support functions like HR, Marketing, Facilities Administration, Information Sys, Finance, etc. in the organization. Many opinions are observed about the need of PM orientation to support groups. These functions perform day to day operations which directly / indirectly influences the line / projects/ delivery functions performance. In addition, the support groups undertake many specific endeavors – projects too.
Manpower planning, major recruitment drives, competency framework development … are these not the projects in HR?
Shifting from one facility to another, renovating the facilities, designing the transport facility routes and logistics, are these not the projects for Facility Administration group? ... Yes, by all means!

What is necessary (but found missing sometimes) is 'the predictable atmosphere' and 'the mindset of doing the things keeping an 'end n integration' in mind'. It is therefore essential to orient these groups to perform the things in project mindset.

Learning Objectives :

  • Get familiar with project/program management principles.
  • Understand the importance of doing the things in project way!
  • Define the work in the project way
  • Practice techniques required for planning, executing and controlling such projects.
  • Explain the relationship of their projects and aftereffects with other divisions
  • Understand the change management aspects necessary on projects
  • Manage stakeholders
  • Achieve 14 contact hours of Project Management Education

High level course flow :

Day 1 : Energizer, Participants introduction, Welcome and faculty introduction, Why and how this training?, Project Management Overview Session , Assignment 1 – 'What do we do?', Assignment 2 – 'Projects OR Operations', Role Play Game: The Candle!, Assignment 3 – What went wrong & right Assessment by the facilitator on major aspect of project management, Project postmortem, Demonstration of few key concepts in PM – WBS, Scheduling, Costing, Team and Quality Aspects – in the light of 'the Candle!'

Day 2 : Energizer, Demonstration and reinforcement of PM Principles continued, Assignment 4 – Beginning of working on real life project. working on the real project using tools/ concepts explained.

Methodology :

The program would be based on Case Study workouts. The participants will be made aware about the PM Principles by using techniques like discussions, group presentations, game and role play.

Prerequisite :

3 years of experience working with support function. It would be advantageous to include the participants of the same function group in one batch.

Project Management is a skill that ensures that employees involve themselves in undertaking such projects, all the while learning and improving themselves to succeed in such endeavors. The skills associated with defining and managing a project can be learned. Understanding and practicing the concepts taught in this class increases the likelihood of success on the project.
